Get more from the AI you already pay for

Before adding another subscription, check what your current tools can already do, and why your team isn't using it.

Many teams already pay for AI in some form: a few ChatGPT seats, or AI features that arrived inside the office software they already use. Often it sits unused, or one person uses it well and nobody else knows how.

Before you buy anything new, get what you have doing real work.

Take stock first

List every tool your business pays for that includes AI, who has access, and who actually uses it. Include features that are switched off by default, and read each plan's data terms so you know what can safely go in.

Find out why it isn't used

When a tool goes unused, the reason is rarely the tool. People don't know what it is for in their job, aren't sure what they are allowed to paste in, or tried it once on the wrong task and gave up.

Give each person one job for it

General encouragement doesn't stick. A specific task does: "draft the first version of the monthly report commentary", with a prompt to start from and a short checklist of what to verify before it goes anywhere.

Only then decide what is missing

Once your current tools are doing real work, the gaps become obvious, and so does the case for anything new. A new subscription should earn its place against a task you can name, not a demo.
